Summary
We’re seeking a highly organized and proactive Senior Administrative Assistant to support our executive team and oversee daily operations. The ideal candidate thrives in fast-paced environments, demonstrates exceptional communication skills, and brings a strong background in administrative skills and leadership. This role is vital to maintaining organization and efficiency while contributing to the smooth operation of the office.
Executive Support
- Provide high-level administrative support to the CEO, including calendar management and travel coordination
- Prepare agendas and take minutes for Board meetings and weekly Senior Staff meetings
- Collect and organize weekly reports from direct reports
- Maintain short- and long-term task lists and follow-ups
Office & Operations Management
- Oversee general office operations and serve as the go-to resource for staff inquiries
- Monitor office supply inventory and place orders as needed
- Coordinate with IT and HR to ensure new hires are properly onboarded and equipped
- Maintain documentation systems (electronic and hard copy)
- Manage inbound and outbound phone calls and guest experience
Scheduling & Coordination
- Manage team calendars and appointments to optimize time management
- Organize and coordinate meetings, including scheduling, agenda prep, and minute-taking
- Plan and execute in-house and off-site team events and activities
- Process Improvement & Cross-Functional Support
- Identify opportunities for workflow and process improvements
- Support cross-functional projects and startup-style initiatives
Travel & Expense Management
- Arrange travel logistics including flights, hotels, and car rentals
- Prepare and submit expense reports
Competencies, Experience, and Education
- Minimum 7 years of experience in administrative support, office management, or executive operations
- Demonstrated expertise in managing executive calendars, coordinating office logistics, and supporting senior leadership
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines
- Strong written and verbal communication abilities, with attention to detail and clarity
- Proven ability to work independently while contributing to a collaborative team environment
- Proactive problem-solver with a self-starting attitude and a high level of initiative
- Experience handling sensitive and confidential information with professionalism and discretion
- Comfortable navigating fast-paced environments and adapting to shifting priorities
Work Environment
The work will primarily be in an office environment with some work in a manufacturing environment.
Physical Demands
- Sitting or standing at a desk and working on a computer.
- Occasional movement through a manufacturing environment.
- Use of personal protective equipment appropriate to the work location.
Travel
Travel may be expected between our Penrose and Pueblo locations
Position Type and Expected Hours of Work
This is a full-time position. Working a 9/80 schedule
