Start Date: Immediately or as agreed upon for the 2023-2024 School Year

Position Type: Full-time, 185 days per year Location: CCHS

Salary: Pay for this position is determined by the School Secretary Salary Schedule based on years of experience and education, $15.68-16.62 per hour starting pay. This will increase with the new salary schedules in July, 2023.

Purpose of the Job: The Registrar/Counseling Secretary performs all clerical/secretarial duties necessary to carry out and fulfill general responsibilities to the counseling department, administrators, teachers and students.

QUALIFICATIONS:

  • High School Graduate or equivalent
  • Similar secretarial/clerk related experience
  • Valid Colorado Driver's License
  • Ability to work cooperatively in a school atmosphere with staff members, students and the public.
  • Ability to effectively read, write, speak and listen to comply with directions and instructions to complete tasks and establish priorities.
  • Integrity, trust and work ethic to be able to work with little supervision.
  • Competent understanding of technology to perform the job.
  • Must pass pre-employment physical
  • Ability to perform light lifting and moving of product (up to 50lbs)
  • Excellent word processing/keyboarding skills with proficiency in Microsoft Office programs
  • Proficiency in grammar, spelling and proofreading
  • Good organizational and time management skills, including filing and record keeping, budget management, ability to handle multiple tasks, and flexibility
  • Ability to use a variety of office machines
  • A team player
  • Excellent face-to-face and telephone communication skills
  • Problem solving skills
  • A patient and positive attitude, with a neat, clean appearance, friendly demeanor and a desire to serve

DUTIES:

  • Type correspondence, letters of recommendation, memos, forms, make appointments and general secretarial duties for multiple counselors
  • File reports, paperwork, records, etc. in student permanent cum files
  • Assist/guide peer counselors
  • Supervise student office aides and volunteers
  • Process paperwork for students withdrawing from and entering school
  • Copy and mail transcripts as requested
  • Distribute mid-terms and/or report cards to teachers as requested
  • Maintain, organize and update permanent student files
  • Communicate honor roll lists to the local newspaper(s)
  • Assist with registration of all students
  • Provide paperwork/forms for these and similar activities: New Student Orientation, ACT and SAT Testing, scholarship information, Open House, College Night, and Financial Aid Workshop.
  • Attach school pictures to all permanent records
  • Obtain records for new students, evaluate credits and type labels for permanent folders
  • Order supplies and materials for Counseling Office
  • Assist seniors in completing college applications and run transcripts to include with applications
  • Schedule appointments for college representatives to visit and schedule students to see representatives
  • Take calls and give information to students about jobs available in the community
  • Keep accurate records for adds and drops throughout the year for State reporting, and complete and return report on time
  • Make approved grade corrections, refigure GPA and credits for existing students when necessary
  • Record graduation date on all senior records and forward final transcripts
  • Attach all test scores to permanent records
  • Type, collate, address and mail newsletters as requested
  • Contact local scholarship donors, type scholarships, scholarship summaries, applications, summarize applicants applying for each scholarship, type donor and student scholarship notifications
  • At the middle school level, duties related to athletic and activities programs will also be included, such as: reviewing/collecting/communicating forms, assisting with sports scheduling, eligibility processes, record keeping related to athletics/activities, transportation related matters, etc.
  • At the middle school level, may also assist with various duties which may include discipline referrals processing and attendance processes.
  • Develop and promote good community relations among various community and school clientele.
  • Present a professional appearance personally and in the work area.
  • Model the District’s Mission and Belief Statements
  • Complete other duties as directed by the building administrators and/or counselors

Requirements for Essential Functions of the Job:

Physical Demands: While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee frequently is required to stand, walk, talk, or hear. The employee is occasionally required to sit; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; feel or smell. The employee must occasionally lift and/or move up to 50 pounds from floor to waist, waist to overhead, waist to floor and overhead to floor. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus.

Work Environment: While performing the duties of this job, the employee must be able to work in a school setting. Travel from site to site may occasionally; be exposed to wet and/or humid conditions; outdoor weather conditions. The noise level in the work environment ranges is generally quiet with occasional increase when working events or with equipment. Must be able to work in person.

Mental Functions: While performing the duties of this job, the employee is regularly required to analyze and compute. Frequently required to compare, communicate, coordinate, instruct, evaluate, use interpersonal skills and compile. Occasionally required to copy, synthesize and negotiate.
