Patient Access Registrar—PRN-Per Diem positions are available in the Emergency room, main hospital, or clinic. Days, Nights, and weekends are available, along with shift differentials. 

For PRN-Per Diem, the following benefits are available:
 Paid Sick time, Holidays, 403(b) Retirement Programs, Shift differential, Workers Compensation. 

Requirements

  • High school diploma or GED.
  • An associate degree in business administration, office management, or a related field is preferred. 
  •  One (1) year experience in front desk clerical, scheduling, and customer service in a hospital or medical office environment preferred. 
  • Familiarity with electronic medical records systems is preferred. 
  • Basic knowledge of office equipment and computer programs.
  • Good customer service skills. 
  • Ability to deal with stressful situations. 
  • Able to lift 20 pounds often, push and pull at least 50 pounds. 

 Summary

The Patient Access Registrar is typically the first St. Vincent Health team member patients meet upon entering the facility during regular business hours. The patient access registrar is responsible for entering the patient's personal and medical information into the hospital's medical records system and the reasons for the visit. The patient access registrar is responsible for processing patient insurance, including filling out forms and contacting insurance companies when authorizations are needed for specific services. The patient access registrar will meet, register, and assist patients, their families, or visitors at all points of entry to the hospital or clinics respectively. Patient Access will ensure a high-quality patient experience. The Patient Access staff will be responsible for all scheduling and phone calls and will be the first contact for patients when they have questions regarding any services provided by St. Vincent Health. This position may be asked to help cover lunches and breaks within the other hospital registration positions within their regular scheduled hours.

  • Welcome and greet all patients and visitors, in person or over the phone.
  • Answer the phone politely and consistently, using proper telephone etiquette and direct calls to the appropriate department or staff.
  • Serve as the "Keeper of the Gates." No one should pass by the front desk without being greeted, asked to sign in on a Visitors Log (and out as they leave), or assisted with their needs.
  • Responsible for maintaining the waiting area to present a clean and organized space.
  • Interview patients to complete insurance and privacy forms.•Ensure all paperwork is completed for the specific specialty when needed
  • Complete the Medicare inpatient paperwork for inpatient Medicare and notice of prior authorization when necessary.
  • Collect insurance co-pay payments and post amounts paid to patient accounts.
  • Register new patients and update existing patient demographics by collecting detailed patient information, including personal and financial information, and following guidelines for updating patient encounters.
  • Communicate with the patient, clinical staff, or other hospital employees regarding delays or other possible situations.
  • Respond to inquiries by patients, prospective patients, and visitors in a courteous manner, maintaining HIPAA guidelines.
  • Keep front registration desk and waiting room supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment.
  • Protect patient confidentiality, ensure protected health information is secured by not leaving PHI in plain sight, and log off the computer before leaving it unattended.
  • Perform and collect outstanding balances. Making calls to patients about balances.
  • Scrub schedules as needed.
  • Perform all other duties as assigned.
  • Exhibit a caring attitude to co-workers and visitors, including working cooperatively with others for a positive work environment and team-building atmosphere.
  • Complies with facility attendance policies and procedures; meets job attendance requirements.
  • Participates in self-growth opportunities/requirements and training opportunities, in-services, and meetings per department and facility policy.
  • Requests help and/or guidance as necessary to safely perform assigned duties.
  • Plans and organizes work activities to complete scheduled assignments on time.
  • Completes an acceptable workload and accepts additional tasks willingly.
  • Understands and follows the chain of command when dealing with problems and concerns.
  •  Complies with facility policies and procedures, including fire evacuation and disaster plans.
  •  Deals with interpersonal conflict healthily and positively.
  • Completes occurrence and all other reports per facility policy.
  •  Demonstrates knowledge and practice of standard precautions for preventing the spread of disease.
