Full-Time Position 32 - 40 hours a week

Monday-Thursday

We seek a dedicated and organized Receptionist / Administrative Assistant to join our team. As a receptionist, you will be the first point of contact for our agency. Your friendly demeanor, strong organizational skills, and ability to provide excellent customer service will contribute to creating a positive experience for our visitors and callers. The Receptionist / Administrative Assistant is crucial in supporting our day-to-day operations by providing efficient and effective administrative support to the Accounting Department, CEO, and Human Resources to ensure smooth office functioning. The Receptionist / Administrative Assistant will answer phones, greet customers, file paperwork, perform data entry, scan documents, receive and sort mail, and perform other tasks that contribute to the organization's function.

CORE RESPONSIBILITIES:

  • Provide comprehensive reception and phone coverage while maintaining an elevated level of professionalism.
  • Answer multi-line phone system and forward incoming calls to the appropriate person/department.
  • Prepare certified mail/express mail forms as requested.
  • Distribute incoming mail and prepare outgoing mail.
  • Perform Accounting team, CEO, and Human Resource clerical duties as needed, including, but not limited to, scanning, copying, filing, etc.
  • Special projects, as assigned.
  • Manage contracts database/files.
  • Manage web-based policy management system.
  • Manage vendor files.
  • Process insurance-related tasks (vehicle registration requests, etc.)
  • Ordering of office supplies for the Administration Building.
  • Use excellent customer service skills to establish and maintain effective working relationships with employees, agencies, participants, external partners, and the general public.
  • Communicate professionally with all levels of management internally and externally.
  • Regular attendance is required for assigned shifts and as outlined by Starpoint’s attendance policy.
  • Adhere to all of Starpoint’s established protocols and policies.

Requirements

QUALIFICATIONS:

· Previous experience as a receptionist or in a similar role is preferred.

· Knowledge of Microsoft Word, Microsoft Excel, and other Office Suite products.

· Ability to work independently and also collaboratively with others to achieve defined goals.

· Excellent communication skills

· Outstanding analytical and organizational skills, with attention to detail

· Ability to maintain a high level of confidentiality.

REQUIRED EDUCATION AND EXPERIENCE:

  • High school diploma or G.E.D.
  • 1-year administrative experience in a professional environment.

PHYSICAL REQUIREMENTS:

  • It may require sitting in front of and operating a computer for extended periods.
  • Requires close visual acuity when operating a computer.
  • Must be able to communicate with others and comprehend instructions.
  • Requires light lifting and carrying.
  • Routinely uses standard office equipment such as computers, phones, and photocopiers.
  • Must be able to move around an office environment.
