Job Description:

Lake County Public Health Agency (LCPHA), an EOE employer, seeks a full time Office Manager and Chief Deputy Registrar. This is a supervisory-level position that manages the administrative front desk operations, acts as Chief Deputy Registrar for Lake County, assists with medical and resource applications, provides Spanish bilingual support and interpretation, and provides daily and long term support to Lake County Public Health and Environment team.

Essential Functions

  • Answer phones and emails, answer general questions pertaining to Lake County Public Health Agency, and refers people to the appropriate staff or outside resources.
  • Accurately makes appointments for clinical clients with appropriate provider and program.
  • Accurately checks clinical clients in, including patient demographics and insurance eligibility and informs clinic staff once client is ready to be seen.
  • Acts as Chief Deputy Registrar for Lake County; issues birth and death certificates, on call 24/7 for deposition permits to assist funeral homes, and ensures that all State Vital Records requirements are met.
  • Provides administrative assistance for immunizations as required including checking immunization refrigeration temperature checks, entering new vaccinations into medical inventory, and entering information into CIIS.
  • Provides support for clinical team by assisting with sterilizing instruments, washing laundry, and any other required tasks.
  • Manages office, cleaning, and general supply ordering and inventory.
  • Provides bilingual Spanish support for clients and provides interpretation when required.
  • Ensures that office policies and procedures are routinely reviewed and updated when required and all required clinical paperwork is available at the front desk.
  • Provides client assistance with resource applications and reviews complete applications as a part of application committee.
  • Corresponds via email and phone with other government agencies, industry, and public partners to collect or relay required information as needed.
  • Complete required yearly trainings to maintain CAAS (Certified Application Assistance Site) certification for LCPHA.
  • Complete trainings related to medical software and public health and environmental health emergency preparedness and response.
  • May assist Finance and Grants Manager with medical billing and insurance claims if required.
  • Fosters teamwork and open communication among staff; participates in office meetings, team-building activities, and trainings.
  • Delivers exceptional guest service through in person, phone, and written interactions.
  • Performs other administrative duties, as assigned.

Supervisory Responsibilities Chief Deputy Registrar- supervises other deputized employees. Provides supervision of front desk administration staff.

Notice of Emergency/Disaster Responsibilities

All Lake County Employees may be required to work as a Disaster Service Worker when a local declaration of emergency or disaster is declared by the Board of County Commissioners.

Requirements

  • To be eligible for this position, a candidate must meet the criteria for written and verbal communication skills of a High School Diploma or GED
  • Ability to understand, interpret, and respond to emails and phone calls.
  • Excellent collaboration skills with the ability to establish and maintain strong and effective working relationships with coworkers, partners, clients, outside agencies, and the public.
  • Experienced in Microsoft Office (e.g., Word, Excel, and Outlook)
  • Current COVID 19 vaccinations
  • Completion of ICS 100, and 700, 800 courses within 6 months of hire
  • Bilingual in English and Spanish and willing to provide interpretation.
  • May be required to work evenings, and weekends associated with special events, community health fairs and educational classes and/or large disasters
