Job Description:

The Payroll/Accounting Coordinator at Trinidad State College oversees the accurate and timely processing of bi-weekly and monthly payrolls for both campuses. Reporting to the Controller, this role ensures compliance with institutional, state, and federal regulations while managing payroll operations through the Banner System. The position also handles student refunds, supports accounting functions, and collaborates across departments to maintain financial accuracy and integrity. This position is located on the Trinidad Main Campus and will work to meet the needs of both campuses.

Examples of Duties

Payroll Processing & Compliance

  • Organize and prioritize payroll tasks to meet strict deadlines.
  • Process payroll for full-time, part-time, hourly, and student employees using Banner.
  • Audit time records, calculate wages, and verify account allocations.
  • Reconcile payroll data using Excel spreadsheets.
  • Assist HR in a timely review of error checks prior to opening payroll.
  • Interpret and apply payroll-related laws, policies, and fiscal rules.
  • Address employee inquiries regarding payroll and related regulations.
  • Guide employees on proper payroll documentation and procedures.
  • Respond to auditor inquiries for current and prior year payrolls.
  • Work closely with HR to ensure timely onboarding and compliance, including processing of Background Checks and other necessities during busy times. 
  • Coordinate with Registrar, Controller, and Resident Hall Director on tuition and fee updates and apply approved tuition and fee rate changes in Banner each semester.
  • Analyze student accounts and finalize refunds in Banner.
  • Scan and index payroll and journal entry documents in BDMS.
  • Support data entry and accounting tasks assigned by Controller.
  • Maintain construction project spreadsheets for financial tracking.
  • Perform additional tasks assigned to support the Business Office.
  • Willingness to travel between both campuses
  • Other duties as assigned

Required Qualifications

  • REQUIRED QUALIFICATIONS:

    • Associate’s degree in accounting or a related field
    • At least 2 years of experience working directly with payroll using an automated payroll system
    • High level of organizational skills and attention to detail
    • Strong work ethic, flexibility, and ability to multitask in a fast-paced environment
    • Knowledge of current regulations pertinent to payroll, including federal and state laws
    • Excellent communication skills with the ability to effectively convey information
    • Ability to interact professionally with the public and internal stakeholders
    • Proficiency in computer applications, including Microsoft Office Suite (Excel, Word, Outlook)
    • Ability to recognize and maintain confidentiality of payroll records and sensitive information
    • Must hold a valid driver’s license and be willing to travel
