Description
We are seeking a highly organized and resourceful Operations Assistant to keep our internal and client-facing systems running smoothly. This role blends administrative support with hands-on operational execution, client onboarding, vendor management, and staff coordination.
Responsibilities
• Maintain and organize office files, both physical and digital.
• Prepare and edit documents, reports, and presentations.
• Assist with development and implementation of marketing campaigns.
• Support day-to-day operations including office maintenance, meeting minutes, email management, travel planning, and scheduling for a hybrid team.
• Coordinate client onboarding and maintain detailed client records.
• Troubleshoot issues with vendors, platforms, and software subscriptions.
• Liaise with clients, partners, and service providers to keep information flowing and problems resolved.
• Assist with internal process improvements to streamline recurring work.
• Review and report to CEO on strategic opportunities.
• Order office supplies and manage inventory.

• Proficiency in Microsoft 365; ability to quickly learn new systems.

• Ability to work independently with little supervision.
• Problem-solving mindset; you enjoy figuring things out, not just checking boxes.
• Experience with bookkeeping, CRM systems, or project management tools is a plus.
• Reliability, confidentiality, and conscientious work habits.
• Ability to adapt and work efficiently in a rapidly changing dynamic environment with deadline pressures.
• High school diploma or equivalent required. Associated or Bachelors preferred. We value proven operational and administrative skills, and relevant career experience may substitute for formal education.
