Job Description:
Mountain Valley Transit (MVT) is seeking a professional Office Assistant with administrative support and clerical skills and experience to join our expanding team. The successful candidate will provide various support to the management and finance team in support of service delivery, data tracking, and grant execution. The incumbent will also be involved in process improvement initiatives and supporting the expansion of the organization.
GENERAL PURPOSE OF JOB
Under direct supervision the Office Assistant provides direct support to assigned members of staff. The incumbent is also responsible for performing a variety of administrative and clerical duties including but not limited to customer service, mail distribution and scanning, data entry, stocking supplies, and calendar management to support the success of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Provide administrative support to the Executive Director, Operations Manager and Finance Specialist.
- Responsible for transferring information and data from driver Trip Sheets / Logs into our digital and electronic tracking tools and systems.
- Responsible for tracking and maintaining office supply inventory and notifying management when supplies require replenishment.
- Perform station attendant activities during assigned shift in support of our working relationship with Bustang and other transit organizations that utilize our office as a commuter bus stop.
- Open and distribute mail in a timely and accurate manner to include scanning in accordance with established policies and procedures.
- Collaborate effectively with internal team to ensure accurate and complete trip information is being received and available for processing.
- Responsible for performing calendar management for the Executive Director.
ADDITIONAL POSITION REQUIREMENTS
- Maintain a clean and safe work area.
- Responsible for ensuring restrooms are appropriately stocked.
- Accurately track and record hours worked in our Human Resources Information System.
- Attend, participate in and contribute to periodic and ad-hoc organization meetings.
- Carries out duties in compliance with all federal and state regulations and guidelines.
- Successfully completes regulatory and job training requirements.
- Complies with all company and site policies and procedures.
- Remains current in profession and industry trends.
- Makes a positive contribution as demonstrated by: making suggestions for improvement and learning new skills, procedures and processes.
- Is available for other duties as required.
- Is available for overtime as needed.
SUPERVISORY RESPONSIBILITIES
- None
QUALIFICATIONS: EDUCATION and/or EXPERIENCE
- High School Diploma or GED required.
- Two (2) years of industry experience as an administrative support professional.
- Two (2) years of customer services experience.
- Two (2) years of professional experience using Microsoft Excel / Google Sheets or other spreadsheet technology for data entry.
LANGUAGE SKILLS
- Read and understand documents such as safety rules, operating instructions, and standard operating procedure manuals.
OTHER SKILLS, ABILITIES OR QUALIFICATIONS
- Demonstrated experience performing timely and accurate data entry.
- Demonstrated experience providing administrative support to organizational leadership.
- Familiar with scanning technologies and file management principles.
- Computer skills: Work and be proficient with Microsoft Office Suite including Word, Excel, and Outlook; and Work and be proficient with Google Workspace applications and Gmail.
- Ability to perform repetitive tasks while maintaining speed of work and attention to detail without loss to production.
- Ability to work with others in a team environment.
PHYSICAL DEMANDS
- While performing the duties of this job, the employee is frequently required to stand, walk, use hands to touch, handle or feel, and talk or hear.
- The employee is occasionally required to sit and reach with hands and arms.
- The employee must frequently lift and/or move up to 10 pounds.
- The employee must occasionally lift and/or move up to 15 pounds.
- Specific vision abilities required by this job include close vision and ability to adjust focus.
