Requirements
- High School diploma
- Associate's Degree in Business, Office Management, or other related field preferred
- Two (2) years of experience in a hospital or medical office preferred
- Familiar with electronic medical records systems preferred
- Familiar with basic office equipment and computer programs
- Strong knowledge of HIPAA guidelines and requirements
- Attention to detail, strong organizational skills, and the ability to effectively multitask
- Strong ethics and ability to handle highly sensitive information with discretion and confidentiality
Responsible for coordinating the medical records process for St. Vincent Health, including the assembly, maintenance, and storage of records to meet state and federal requirements. Performs particular monthly closing and reporting procedures. Assists clinical staff with data collection. Responsible for administrative duties and assists with other duties as assigned. On an as-needed basis, will help and back up other front office staff positions.
Maintains accountability for the operation of the Medical Records Department in accordance with standards, statistical compilation, and quality assurance studies.

- Compiles reports, surveys, and other paperwork as requested and required.
- Responsible for abstracting each chart for each patient and ensuring the accuracy of the entries of that data.
- Writes and adheres to Medical Record/HIM Policies.
- Responds to all Medical Record correspondence and requests promptly.
- Maintains accountability for complying with state and federal requirements and fulfilling recommendations.
- Follows state and federal guidelines regarding patient records and record destruction
- Reviews electronic medical records for completeness.
- Responsible for retrieving lost patient data by contacting the patient's physician, nurse, or other health care providers as required.
- Maintains quality results by following hospital standards.
- Maintains continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.
- Maintains patient confidence by keeping patient records confidential.
- Serves and protects the hospital community by adhering to professional standards, hospital policies and procedures, federal, state, and local requirements, and DNV standards.
- Enhances medical records and hospital reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments.
- Must work in cooperation with other departments to resolve issues that would interrupt an adequate cash flow or prevent this facility from maintaining low Accounts Receivable (A/R) days.
- On an as-needed basis, will assist and back up other front office staff positions. Demonstrates dedication to customer service, such as assistance with telephone calls, giving directions, and providing general hospital information. Interacts with external and internal parties with courtesy and sensitivity
- Actively participates as a collaborative department team member by communicating constructively, identifying business office and interdepartmental problems, and resolving conflicts appropriately.
- Create a weekly productivity report and report it to the revenue cycle director.
- Performs other duties as assigned.
