POSITION PURPOSE
Under general supervision, performs the tasks of an Administrative Assistant I (Entry Level) and a broad range of clerical and administrative tasks. Establishes and maintains filing systems. May prepare response to routine correspondence for Supervisor’s signature following established procedure. Demonstrates proficiency with standard office equipment. Prepare routine and special reports and presentations. May involve some project work.
ESSENTIAL DUTIES/ RESPONSIBILITES
• Include, at a minimum and subject to modification as circumstances require, the following. Other duties may be assigned
• Payroll, overseeing bi-weekly and all other payroll-related functions, ensuring all employees are paid timely and accurately, following all current city policies and applicable employment laws.
• Timely benefits administrations in consultation with or as may be directed by City Manager
• Complete yearly w-2 filings for all staff
• Complete yearly 1099’s fillings for all staff
• Completely Quarterly 941 filings
• Completes Quarterly UI Filings
• Prepare year end Payroll Balancing
• Manage and ensure accurate Cash receipting in general ledger
• Reconcile Operating Account Bank Statements and deliver City Manager.
• Manage and oversee all accounts payable • Assist in year-end audit preparations
DUTIES AND TASKS
You must possess the basic skills to perform all required routine tasks. Continue to learn and hone and actively work to acquire advanced skills and gain an understanding of the total process flow. Other duties as assigned.
SUPERVISION GIVEN AND RECEIVED Receives general instructions on routine work, and potentially detailed instructions on new assignments from the City Manager This position has no supervisory responsibilities.

Language Ability: Ability to read and capably interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math Ability: Ability to accurately and precisely calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. To apply basic accounting standards. Understanding of accruals, government accounting specifically GAAP.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Personal Competencies: Willingly shares skills and knowledge. Effectively gives and receives feedback. Communicates effectively and professionally.
Expert Computer Skills: Data entry Excel Spreadsheets Microsoft Word or similar word processing suite Mastery of City Operating systems Google Docs PowerPoint Related, universal system(s) competency
Certificates and Licenses: Notary - preferred4
Education: High school diploma or general education degree (GED); or three to four years in related experience and/or training; or equivalent combination of education and experience. Associate’s in accounting, certifications in advanced payroll systems.
