Job Description:

Under the direction of the Police Chief, the Administrative Assistant supports the Police Department by providing a very high level of professionalism, customer service and administrative coordination to the Police Chief and Deputy Police Chiefs. Responsible for processes such as Google Calendar, Google Drive, and Google Mail management, meeting coordination, office communications and the provision of general support to the Police Chief and Deputy Police Chiefs on a daily basis. In addition, special projects may be assigned from time to time. This position requires discretion, diplomacy, confidentiality, and professionalism at all times.

Essential Functions:

  1. Provide very high-level customer service to the Police Chief and Deputy Police Chiefs, as well as internal and external customers. This includes being communicative, polite, patient, accurate, and responding to requests quickly.
  2. Provide general support to the Chief of Police and Deputy Police Chiefs including but not limited to arranging business travel and accommodations, reconciling business expenses, completing expense reports and requisitions, answering phones, communicating information from the Police Chief and Deputy Police Chiefs to other staff and divisions, filing, preparing forms and records, composing correspondence, and assisting with preparing presentations.
  3. Maintain and coordinate the Police Chief and Deputy Police Chiefs' calendars and schedules including responding to meeting requests, scheduling meetings in an organized and feasible manner, attending meetings and taking notes/minutes when requested, reconciling scheduling conflicts, and providing gatekeeping to foster uninterrupted work hours for Police Chief and Deputy Police Chiefs. Assist in ensuring meetings start and end on time.
  4. Act as a point of contact to office walk-ins, and provide daily assistance to ensure the Police Chief and Deputy Police Chiefs are aware of details of the day's meetings.
  5. Assist with coordinating the Police Chief's daily priorities by acting as a central point of contact for the office, reading Police Chief's emails throughout the day, and responding to emails that are routine inquiries or redirect inquiries to the appropriate department. Identify matters that require immediate attention in a timely manner. 
  6. Utilize diplomacy, communication, and conflict management skills when responding to a wide variety of inquiries over the phone and in person with internal and external stakeholders, city employees, and citizens.
  7. Plan, organize, and coordinate meetings, occasionally on nights and weekends, to include ordering catering, venue coordination, event set-up, clean-up, and registration management for Police Chief and Deputy Police Chiefs.
  8. Maintain and ensure the highest level of confidentiality within all areas of responsibility within the police department.

Job Requirements:

  • At least three (3) years of work experience in a fast paced, executive level office environment.
  • Degree in business administration, business management, office management or related field from an accredited college is preferred. 
  • Excellent analytical and interpersonal skills, high attention to detail. 
  • A collaborative and engaging personality with a strong strategic mindset.
  • Must be able to manage and coordinate multiple high level tasks with routine interruption.
  • Experience with Microsoft Office and Google Suite and other common software programs is required. 
  • Ability to prioritize, organize, and effectively communicate orally and in writing. 
Licensures & Certificates (must be active and current.):
  • Current Colorado driver's license with acceptable record.
Physical Requirements and Work Environment:
Moderate physical work with the ability to lift 25 pounds. Occasional lifting, carrying, walking and standing, hand/eye coordination for operation of personal computer; vision for reading and preparing written reports and documents; frequent speech communication, hearing and listening to maintain communications with employees and citizens. Works primarily in clean, comfortable environment. Subject to many interruptions and high pressure situations due to multiple calls, inquiries and sensitive office matters.
