HRRMC has a full-time Clinics Business Office Supervisor opportunity available. This position is 40 hours /week and will include some weekend hours, working at our main campus in Salida. This The ideal candidate will have excellent customer service and computer skills, be a team player and self directed. As a supervisor, responsibility is confined to a defined area of the organization. This role is for leadership development and mentoring and assumes responsibility for the overall function of the department in the absence of the manager. The employee in this role demonstrates expertise and is able to handle multiple priorities. Responsible for coordination and execution of staff education and functions as a role model for current and new staff. Utilizes problem solving techniques to prevent conflict and promote team development. Leads other personnel in the provision of duties and maintains a calm and safe environment for customers and staff.

ESSENTIAL DUTIES PER AREA OF RESPONSIBILITY

a. Under the direction of the manager or director works within budgetary guidelines to ensure new practices are staffed accordingly. Responsible to ensure provider's schedule is templated in electronic medical record per direction of provider/manager/director in accordance with contractual productivity requirements.

b. Oversees front office/registration staff ensuring excellent customer service 100% of time.

c. The clinics supervisors ensures that registration staff answer the phone per protocol, appoint patients per provider templates, enter patient information accurately in approved format and ensure with 100% certainty that they are not duplicating the patient account.

d. Ensures that registration staff utilize the supplied tool to check insurance coverage the day before patient appointments, ascertain patients’ copayments, collect copayments prior to receiving services, and contact immediate supervisor if patient is unable / unwilling to pay their copayment. Also ensures the registration staff refers patients to a financial counselor for financial questions and to set up payment plans as needed.

e. The clinics supervisor ensures that registration staff utilize approve forms, has patients sign consents and responsibility for treatment.

f. Is an expert in the clinics EHR, serves as a super user for registration functions, and provides training and remedial training to registration staff.

g. May fill in for registration staff in times of shortage, but the primary role is to support the registration staff with supervision, mentoring, team building, competency, and efficiency.

h. Is expected to resolve minor customer service issues on the spot whenever possible, involving their manager as needed.

i. Serves as the liaison between registration staff and clinical staff including MA’s, nurses and providers

j. Assists registration staff with difficult customers, engaging assistance from supervisor or others as needed.

k. Attends and participates in clinics practice meetings, serving in the role as expert with respect to patient registration.

l. Ensures par level of office supplies is on hand, ordering supplies (or delegating this function) before critical supplies are depleted.

m. Communicates any concerns or issues directly with their provider whenever possible or consults immediately with their manager or director. does not wait to be rounded on to share concerns.

n. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

Provides direct supervision of the registration staff and may supervise volunteers assigned to the front office. Carries out other supervisory responsibilities as requested in accordance with the organization’s policies, leadership structure and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; addressing complaints and resolving problems with staff, providers, and customers

Requirements

EDUCATION and/or EXPERIENCE

Associates degree preferred; plus a minimum of three years of responsible business experience, preferably in public relations capacity, healthcare setting, or other professional setting. A combination of education and experience will be evaluated for all candidates.
