Job Description
The Centralized Scheduling Specialist is responsible for completing and coordinating outpatient services scheduling and all associated patient information. The Centralized Scheduling Specialist is responsible for reviewing orders, completing timely, detailed and accurate patient registrations, providing related patient directions and validating medical necessity of services utilizing tools available. Effectively communicates prior authorization requirements working collaboratively with Physician office staff to acquire information needed from their office. Collaboratively works with clinical departments, nursing staff, authorization and registration staff.
Salary range for this position is based on years of experience and ranges from $16.96 to $21.32
ESSENTIAL DUTIES PER AREA OF RESPONSIBILITY
1. Responsible for efficient, expedient, and accurate procedure scheduling. Effectively communicates with patients, families, healthcare team members and physicians both in person and via telephone.
2. Requests an accurate clinical history as necessary for the exam. Provides instructions, dietary restrictions and exam specific preparations to the individual scheduling the procedure.
3. Reviews and evaluates scheduled appointments for completeness and type of test ordered. Ensures compliance with applicable regulatory guidelines and hospital policy. Assists with Pre-Registration process by obtaining demographic information and insurance payer information from the individual scheduling the procedure.
4. Notifies Financial Counselors of all Insurance and Private Pay scheduled services (excluding Medicare, Medicaid, VA, WC and any with a secondary insurance) benefit information to facilitate provision of an estimated out of pocket expense to the patient.
5. Maintains an awareness of the Delinquent Physician list and does not schedule elective procedures for physicians on this list.
6. Receives physician orders and schedules procedures by both telephone and electronic media. Obtains provisional diagnosis and patient history to substantiate the requested procedure.
7. Completes “Non-Staff” provider documents and forwards appropriately so that updates are completed.
8. Contacts “No Shows” on a weekly basis to reschedule their procedures.
9. Communicates scheduling concerns or problems to Centralized Scheduling Lead.
10. Documents system with activity comments to ensure appropriate account follow-up.
11. Performs other related duties as assigned.
Requirements

EDUCATION and/or EXPERIENCE A minimum of three years related business experience, preferably in a hospital, medical or physician office.
Summary
HRRMC's Centralized Scheduling Department has an opening for a full-time (40hrs/week) Centralized Scheduling Specialist.
