Job Type: Full time, Hourly

Wage: $19.60 - $21.17/hr.

Location: Canon City, CO.

Job Description:

Salary: Pay for this position is determined by the Year-Round Executive Secretary/Accounting Salary Schedule based on years of experience and education $19.60 - $21.17 minimum hour rate.

Purpose of the Job:
Operates under general guidelines and direction of the Director to support the Operations Department while assisting the staff to ensure the efficient operation of the department. Performs a variety of general duties as assigned.


MINIMUM REQUIREMENTS: 

Education: High school diploma or equivalent

Experience: Similar secretarial/clerk experience/trade experience

Licenses/Certificates: Valid Colorado Driver’s License


Essential Duties Of The Job: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with or without a reasonable accommodation.)

  • Coordinates and manages the response to work order inquiries, requests and needs for service from district buildings and departments and determines and initiates the proper action to be taken to effectively and expeditiously complete repairs in accordance with school policy, sound maintenance practices and priority and urgency of operations. Includes collection of receipts from auxiliary services staff.
  • Assist in the management of the warehouse deliveries.
  • Receive, review and route facility use requests and prepare user contracts.
  • Process monthly P-card reports.
  • Purchase, receive and track inventory on work order items.
  • Maintain updated records for all building keys, inspections and safety records.
  • Archive records as needed.
  • Assist in the management of the annual priority list for maintenance of buildings and preventive maintenance programs.
  • Effectively manages assigned budgets.
  • Maintain basics in electronic door systems such as assigning key fobs and changing door schedules.
  • Assists in executing writing of bids and RFP, RFI, and RFQ specifications as well as analysis, tabulations and awards of bids per district policy.
  • Assist with district safety related records and responsibilities.
  • Greet and direct visitors. 
  • Take responsibility for establishing a positive, professional image for the Operations Department in all interactions with staff and community.
  • Process all forms pertinent to the Operations Department.
  • Respond to and direct inquiries concerning Operations.
  • Assist with field operations as needed.
  • Handle Operations Department correspondence including: opening, organizing mail, typing, copying, processing outgoing letters and reports and composing routine letters.
  • Screen and route phone calls.
  • Prepare time sheets for Operations services staff and check for accuracy, verify absences in absencement systems.
  • Clean and maintain Auxiliary Services Building break room, bathrooms, office area and common areas.
  • Other duties as assigned.


Skills, Knowledge, Equipment & Other: 

  • Good organizational and time management skills, including accounting, data input, filing and record keeping, budget management and flexibility.
  • Assist with parent inquiries related to transportation or food services.
  • Knowledge of grounds, HVAC and maintenance equipment.
  • Familiar with OSHA safety requirements.
  • Standard tools, heavy equipment (trucks, tractors, machinery, etc.) snow removal equipment including plow, mowers, shovel and/or small tractor.

Physical Demands: While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel.  The employee frequently is required to stand, walk, talk, or hear.  The employee is occasionally required to sit; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; feel or smell.  The employee must occasionally lift and/or move up to 75 pounds from floor to waist, waist to overhead, waist to floor and overhead to floor. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus.


Work Environment:  While performing the duties of this job, the employee must be able to work in a school setting.  Travel from site to site may occasionally; be exposed  to wet and/or humid conditions; outdoor weather conditions. The noise level in the work environment ranges is generally quiet with occasional increase when working events or with equipment. Must be able to work in person.


Mental Functions:  While performing the duties of this job, the employee is regularly required to analyze and compute.  Frequently required to compare, communicate, coordinate, instruct, evaluate, use interpersonal skills and compile.  Occasionally required to copy, synthesize and negotiate.
