Wage: $19.12 - $23.42/hr.

Position Summary: Under general supervision, perform a variety of basic administrative and accounting duties as well as on-going project assignments for the City of Canon City Public Works Department.

  • Answers phone/routes calls to appropriate personnel.
  • Greets walk in customers.
  • Answers questions, responds to requests, collects/posts payments, issues receipts, takes information and follows up with appropriate action, distributes forms and assists with investigation and resolution of customer concerns.
  • Balances monies collected and turned into the Finance Department.
  • Processes accounts payable and accounts receivable for assigned areas
  • Enters data into the Asset Management software for assigned areas
  • Dispatches appropriate personnel regarding customer concerns.
  • Responds to requests, collects information, distributes forms, answers questions, and researches problems for employees and their purchases.
  • Responsible for paying Department invoices via P-Card or by preparing Payment Request Vouchers as needed.
  • Maintain appropriate spreadsheets tracking vendor payment.
  • Assists customers and staff in issuing and tracking of permits for assigned areas.
  • Provides excellent customer service to external and internal customers including but not limited to effectively listening and communicating, providing accurate information, offering solutions, assisting in resolution, and ensuring timely follow up as needed.

Non-Essential Duties and Responsibilities*: The following duties, although not essential to the position, are important components to the smooth and efficient operation of the Division, Department, and City.

  • Runs reports as needed.
  • Assists with the preparation of annual reports.
  • Participates in cross training with other administrative clerks within Public Works.
  • Attends or completes trainings, seminars, and meetings as required.

  • Knowledge of principles and processes for providing excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of spreadsheets and accounting software. Proficient in Microsoft Office Suite or related software.
  • Knowledge of basic office equipment including but not limited to copiers, fax machines, multi-line phone systems, and adding machines.
  • Ability to interpret and apply City policies and procedures.
  • Ability to recognize that a process is not efficient or effective, take appropriate steps to identify a solution and implement a new process.
  • Ability to analyze and edit reports, perform system updates, transmit electronic data, and produce documents such as invoices, sales receipts, letters, and/or reports
  • Ability to communicate effectively verbally and in writing.
  • Ability to write routine reports and correspondence.
  • Ability to build effective relationships as needed with employees, government officials, contractors, vendors, and the public.
  • Possesses basic understanding of accounting/record keeping practices and procedures.
  • Possesses excellent customer service skills.
  • Possesses excellent organizational and prioritization skills and strong attention to detail.
  • Possesses excellent data entry and record keeping skills.
Requirements

Minimum Qualification(s):

Experience

  • At least two (2) years of experience with Microsoft Office.
  • At least one (1) year of direct customer support.
  • At least one (1) year of experience processing financial transactions.

Education

  • High School Diploma or equivalent

Licenses/Certifications

  • Valid Driver’s License and satisfactory driving record required

Preferred Qualification(s):

Experience

  • At least two (2) years of experience with electronic billing systems and asset management software.

Education

  • At least an Associate’s Degree in Office Management, Business Management, Business Administration, or Accounting.

Licenses/Certifications

Physical Activities:

  • While performing the duties of this job, the employee will travel within the City of Canon City and Fremont County
  • Majority of work time will be indoors with low noise levels.
  • Physical demands of job require some lifting; pulling; carrying and pushing of objects –approximately 15 pounds.
  • Frequent bending, simple grasping, finger/manual dexterity, standing, walking, twisting upper body, stooping, and hearing.
  • Occasional climbing on stairs.
  • Communicates verbally with City staff, outside agencies and the public in one-on-one settings, group settings and over the telephone.

Additional Information:

  • This position will typically work Monday – Friday but will flex to working weekends and evenings based on seasonal, organizational or event needs.
  • This position will be required to attend occasional City Council meetings and/or other meetings and events after normal work hours.
  • Frequent extension of work day to meet deadlines.
