About Us: Karifin Partners, LLC is a small and dynamic home-based consulting firm providing Fractional CFO, Grant Administration, and bookkeeping services to small businesses, non-profits, & governmental entities. We pride ourselves on delivering exceptional service and personalized solutions to our clients. As we continue to grow, we are looking for a dedicated Administrative Assistant to join our team and support our day-to-day operations.

Description: We are seeking a highly organized and proactive Administrative Assistant to provide administrative support to our team. The ideal candidate will be a self-starter with excellent communication skills and a keen attention to detail. This developing role is crucial to ensuring the smooth operation of our office and assisting in various administrative tasks.

Responsibilities:

  • Provide administrative support to a hybrid team (answering phones, managing emails, and handling correspondence).

  • Schedule and coordinate meetings, appointments, and travel arrangements.

  • Maintain and organize office files, both physical and digital.

  • Prepare and edit documents, reports, and presentations.

  • Support project management by maintaining project schedules and tracking deliverables.

  • Assist with development and implementation of marketing campaigns.

  • Assist with bookkeeping tasks, including invoicing and expense tracking.

  • Review and analyze strategic opportunities.

  • Liaise with clients, vendors, and stakeholders as needed.

  • Order office supplies and manage inventory.

Qualifications:

  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook).

  • Demonstrated ability to learn and apply new business applications and technologies.

  • Excellent organizational and time management skills.

  • Strong written and verbal communication skills.

  • Ability to organize, multitask and prioritize tasks effectively.

  • Exceptional level of accuracy, attention to detail, and problem-solving skills.

  • Understanding of bookkeeping and basic accounting is a plus.

  • Familiarity with bookkeeping, project management software and tools is an advantage.

  • Reliability, confidentiality, and conscientious work habits.

  • Ability to work independently with little supervision.

  • Ability to adapt and work efficiently in a rapidly changing dynamic environment with deadline pressures.

  • High school diploma or equivalent; Associate or Bachelor’s degree preferred.
