We are looking to add an Administrative Assistant to our team in our Canon City, Colorado office. The Administrative Assistant will provide essential support to our advisors and contribute to the overall efficiency of our operations. This role involves managing administrative tasks, ensuring smooth operations, and assisting with client communications in a fast paced financial environment. The ideal candidate will have a passion for serving others, exhibit drive and initiative, possess a team mindset, and a have desire to positively impact others.

Administrative Assistant Responsibilities:

  • Greet and welcome clients, visitors, and vendors in a professional and courteous manner.
  • Answer and direct phone calls to the appropriate team members and respond to inquiries and voicemails.
  • Provide general administrative support as needed, including preparing documents, reports, and correspondence, scheduling appointments, and coordinating meetings.
  • Assist with updating client information, obtaining client signatures, entering data into systems, and filing both digital and paper records securely.
  • Prepare necessary materials for meetings.
  • Assist in managing office supplies and equipment, maintaining inventory, and placing orders as necessary.
  • Help with the onboarding process for new clients, ensuring a smooth and professional experience.
  • Support compliance initiatives by assisting with documentation and record-keeping requirements.

 

Required Qualifications and Skills:

  • High school diploma or GED.
  • 1+ years of administrative experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Ability to work independently and as part of a team in a dynamic environment.
  • One or more years’ experience working in QuickBooks

 

Travel:

  • Little to no travel is required.

 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
